Private Lesson Information
Giving private lessons is a privilege you have if you are currently coaching classes at Spokane Gymnastics. The ratio is for every consistent shift you work; you can do one private lesson. An example so there is no confusion would be if you work three shifts a week, you can do three private lessons each week. Subbing does not allow you to do more private lessons. You are NOT clocked in during private lessons; to do so would be “double-dipping” and getting paid twice. You set your rate and pay the gym fee of $10 per hour. Please remember that there is sales tax, and you need to inform the parent. Spokane Gymnastics handles the payment for you (including covering the credit card processing fees) but does not get any of the payment besides the gym fee.

All coaches providing private lessons must:
-Be approved by management to do private lessons.
-Follow all guidelines established in this section.
-Never, under any circumstances, be alone with any minors.
-Sign an agreement to understanding and adherence.
-Write down all lessons in the “Private Lesson” book at the service desk in advance. If you are unable to write it in the book, please call the service desk so that they can add it.
-Never solicit private lessons. To do so is a terminable offense.
-Schedule private lessons while the service desk is staffed and not during peak times (Monday – Wednesday from 3:30pm – 7:00pm and Thursday from 3:30pm – 6:45pm, excluding the 3rd Thursday of the month)

Private lessons are only to be provided to students who are currently enrolled in classes at Spokane Gymnastics. Usually, private lessons are for students who are having difficulty in class or are close to moving up to the next level but still need a little refinement. Occasionally, we will allow private lessons for returning students who need a refresher or for individuals who are looking to gain a specific skill or learn a couple of skills for cheer or High School gymnastics. These are only provided as special accommodations and need the approval of management.

The coach is responsible for making all arrangements with the student and parent. However, payment is made to the Service Desk, not the individual coach. The maximum number of students that may share a private lesson is two.

How much should I charge?
There is no specific rate per hour determined by Spokane Gymnastics. The coach is free to charge whatever they feel is appropriate. For coaches, most charge between $30.00 and $50.00 per hour, and $50.00 – $60.00 per hour for department leaders or team coaches. Spokane Gymnastics will automatically deduct $10.00/hour for the use of the facility and equipment. Half-hour private lessons range from $20.00 – $30.00. Spokane Gymnastics will automatically deduct $5.00 for the use of the facility and equipment. There is sales tax, so make sure that you inform parents. DO NOT CLOCK IN FOR PRIVATE LESSONS!

You are paid by the parent, not Spokane Gymnastics. Spokane Gymnastics will handle the payment and processing, but you will be paid what you charge the parent, minus the gym fee, by way of payroll addition. All private lessons must be paid at the Service Desk to Spokane Gymnastics, not to the individual coach, and will be added to the following payroll.

Parents may pre-pay for private lessons, but it is your responsibility to make sure that each lesson is accounted for correctly at the service desk, so you are paid for the lessons you teach. If you have a customer who wants to pay in advance and have a credit saved on their account, make sure they understand that credit will never expire and may be used for any of our services, but Spokane Gymnastics will NOT offer refunds.

Parents schedule private lessons directly with each instructor, so make sure they have your mobile phone number or email address to reach you and for all communication. All communication should be about private lessons and skills. If they inquire about registration, programs, special events, etc., kindly inform them to reach out to the service desk.

When you schedule a private lesson, be sure to WRITE IT DOWN in the New Student Assessment/Private Lesson book at the service desk. This needs to be done at least a day before the private lessons occur. If anything changes with time or it is canceled, cross it off or make any relevant updates along with your initials and the date. If you schedule the private lesson when you are not at the gym and are unable to write it down at least the day before, then call the service desk, and they will write it down for you.

If an urgent situation comes up and, for some reason, you are not able to attend a pre-scheduled private lesson, be sure to contact the customer directly IMMEDIATELY and then call and update the service desk. It is also the same procedure if you are running late. Make sure to communicate with the parent and service desk. It reflects poorly on our entire company if you are not organized or communicate effectively. Just as you deserve to be treated fairly and your time is valuable, if for whatever reason you miss a private lesson with a student without ample notice, you MUST make it right by providing a free private lesson (one gym fee waived as a courtesy but if there are any future instances will COST you) and apologizing. Being authorized to coach private lessons is a privilege that will be granted only to coaches who consistently demonstrate that they are responsible and represent Spokane Gymnastics well.

You may charge a “no-show” or late notice cancellation fee to customers, provided that your policy is understood and agreed upon by all parties. You may create and distribute your own private lesson information sheet, including details as provided in this section. Please make sure that customers understand all the details of both your and Spokane Gymnastics’ procedures. You may provide the customer with an agreement to sign.

Please be sure to follow all health procedures regarding handwashing before, during, and after the private lesson. Make sure equipment is disinfected and sanitized after use. If you move any mats, please move them back and keep the gym organized.

Private lessons are an additional service we provide and are a privilege. By following these guidelines, it can and should be a win-win-win situation!
